Corporate Welcome Kit Rigid Boxes

One clear layout for a kit with many moving parts. Plan a branded rigid box around the actual notebook, bottle, accessories and welcome card—then make packing repeatable.

Turn the item list into a packing layout

Corporate welcome kit rigid boxes work best when the contents are resolved before the outer size is fixed. A notebook, bottle, pen and card each need a position, but they do not all need the same cavity depth. Share dimensions and weights for the exact items rather than relying on generic product names.

  • Make an item matrix: product, dimensions, weight, orientation and quantity per kit.
  • Include charging cables, sleeves, cards and secondary cartons in the count.
  • Identify fragile, liquid-containing or easily marked items.
  • Decide what the recipient sees first and how each item is removed.

Changes to the bottle or notebook after sample approval can affect the insert and outer dimensions. Keep an approved item list with the packaging specification.

Choose a structure your packing team can use

StructureUseful starting pointOperational check
Magnetic / book-styleA single opening and a branded inside message.Closing clearance with every item in place.
Lid-and-baseA straightforward two-piece presentation.Lid grip and consistency across the packed kits.
DrawerA tray-led reveal for a shallower kit.Pull access and whether heavy items shift.
CollapsibleAn option when empty-box storage matters.Assembly time, corner construction and separate insert storage.

Keep a stable core—and define the variants

A common box with interchangeable cards or sleeves can simplify a programme, but only if the product set still fits. Record the quantity for each department, name, language or artwork version. Agree whether personalised printing is on the box, a sleeve or a separate card.

Do not treat a combined quantity as one identical print run when names or designs vary. Share a clean version list and approve a proof for the personalised fields before production.

Specify protection and removal together

A fitted insert keeps the kit presented in the intended order. Ask which support material suits the item shapes, weights and finish. Leave room for fingers, tabs or a clear removal sequence; a tight cavity is not automatically a better one.

If the kit includes electronics, food or liquids, tell us the product-specific packaging needs. Do not assume every foam is anti-static or every lining is food-contact suitable. The materials and inserts guide helps separate visual choices from functional requirements.

Agree the packing scope before you order

The empty box, product sourcing, kit assembly and delivery to individual recipients are separate scopes. Confirm in writing which services are included. Do not assume that buying boxes includes buying the gifts, packing them or shipping every kit.

  • Who supplies the products, and when are they available for sampling?
  • Who checks each kit’s item count and personalised card?
  • Will kits ship in bulk to one office or separately to recipients?
  • What protective outer and packing instructions are required?

Use the shipping and transit guide for the outer-pack discussion. A rigid presentation box alone is not a courier-protection guarantee.

Build a repeat-order reference

Keep the approved finished sample, artwork version, item matrix and packing sequence. For later orders, confirm whether any product supplier or dimensions have changed. This is particularly useful for recurring onboarding batches and seasonal client gifts.

Request a quotation with quantity per version, insert and decoration details, sample type, packing scope, delivery postcode and arrival date. Read the sample approval guide and pricing guide before comparing unit rates.

Questions before you order

Do you supply the products inside the kit?

This page covers custom packaging. Product sourcing, assembly and individual dispatch must be discussed and included explicitly in the quotation; they are not automatically included.

Can employee names be personalised?

Discuss the names, quantities and print position before quotation. A card or sleeve may be an alternative to changing the whole box; approve the exact personalised proof.

Can we reorder the same kit later?

Keep the approved box and product specifications. Reconfirm current item dimensions, artwork, quantity and schedule before the next order.
